SureTrace Pandemic Declaration and Tracing System
Overview
There are several components to this system:
- The declaration form where a visitor will enter their contact details, and then answer a set of questions about their level of risk to pandemic exposure (customizable by site). Refer to the 'Demo Pandemic Declaration Form' under the Learn menu above.
- A configurable messaging component, which sends the entered electronic form to the designated account(s), and should a risk be identified, it will send a warning message, per the site's requirements
- Reporting: a customizable reporting system, which allows any user with the relevant access to request reports by period / site, for either complete declarations, or a list of declarations. These are delivered in Excel format to enable further processing or off-line storage by the user.
- An administration facility, where sites can be created and maintained, and users can register and be approved and permissions changed.
Using the System
You will need to work with a SureSecurity consultant to define your form requirements, as well as business rules for warning messages and so on. Assuming this has been done, the following needs to be done, preferably in conjunction with your consultant:
Tailoring the Declaration Form for the site:
- Contact SureSecurity support (tony.shelver@suresecurity.ca) with your form requirements, if different to the standard form.
- Customize the form URL to automatically populate the Site Name
- If required, SureSecurity can create a QR code for the form URL, to be printed for placement at visitor entry
- Note that the form and QR code can be embedded on your website, or we can provide you with a landing page
Telegram account setup and SureTrace access:
- Telegram accounts will need to be created for receiving declaration form info messages and pandemic warning messages. Any user who requires access for site creation, account approval or report access will also need a telegram account
- Telegram can be natively installed on iOS, Android, Windows and LInux, or accessed in the browser from web.telegram.org . See www.telegram.org for downloads
- Next the user will need to register to the SureTrace bot: search in the address bar at the top of the page for SureTrace or @SureSecBot, and message /start to the bot. /help or any invalid message sent to the bot will bring up the top level system menu
- For guidance on using the system, send the /help message, or click it in the message bar. Further help is available on pressing /reports and /settings
- Use the /help and menu help messaging for further system information, as these are kept up to date with system capabilities
Basic system usage (via Telegram):
For more detailed information, see the system help (/help in the base menu).
- User registration process: per the system help, after a user activates the SureTrace bot, they will need to get the site name and secret from the site administrator, and then send /register to the system. The site administrator will be notified of the new user, and will then contact the user for confirmation per the supplied email or phone number, and grant the relevant permissions.
- User permissions: admin allows the user to maintain a site and user permissions for that site, report allows the user to access site reports, info will receive declaration form confirmations and warn will receive pandemic violation warning messages.
- Site maintenance: accessed under settings. Sites can either be created (enter new site name), or maintained (select existing site). Note that the creating user will be the initial administrator. Note: The site name must exactly match the site name in the pandemic registration form.
- Reports: Reports can be tailored to customer requirements, and currently consist of two types: form reports, where entire forms are extracted, and list reports, where forms are listed one line per form, to quickly scan the visitor lists. Forms are requested by site and period, and if multiple form layouts are in place, the form type will be requested as well.
Technology
The system is implemented using best of breed, mostly open-source products, and is designed to be modular so that components can be swapped out.

Declaration form entry: This is currently a cloud-based, low-code environment from a leading technology vendor that can be quickly customized for differing requirements.

Messaging: Messaging is managed using Telegram, a secure and widely used platform that allows optimal flexibility for implementing this type of solution.

Data storage: this is stored on our servers, using a best-of-breed, reliable database server that allows for optimal flexibility and performance in data storage and retrieval

Reporting: requested via Telegram, downloaded to user in Excel (.xlsx) format for further analysis

Administration: This is done via our Telegram bot, with a quick and easy conversational interface.
